Invoice numbers are boring until they are missing. Tax software, clients, and your own archive all expect a unique id. “The one I sent last Thursday” is not an id. A sequential number makes gaps obvious. If INV-014 never went out, you will see it. If two PDFs both say INV-014, you have a mess that takes a night to unwind.

A solid format is short and sortable. Year plus sequence, such as INV-2026-001, is enough for most freelancers. Add a brand prefix if you run two trades from one inbox. Skip random hashes. Skip the client’s full legal name inside the number. Put the client on the invoice body, not in the id. Numbers that look like sentences are hard to type into a bank reference field.

Set the starting value to the next unused number, not a number you already sent. Voided invoices still occupied that slot. Issue the next one and note the void in your records. Reusing numbers is how duplicate payments and duplicate disputes are born. If you switched tools mid-year, start where the old tool left off so the year still reads as one sequence.
