Incusia vs Invoice Ninja

Own the database, or let someone else run it.

Switch if you do not want a server to patch, a database to back up, or a mail queue to watch. Hosted Pro is $14 a month. Starter is $9, and someone else runs it.

Stay if you are technical and you want the database on a machine you control. Self-host Invoice Ninja. That is the right answer, and this page is not going to talk you out of it.

Last reviewed 7 November 2026Checked against Invoice Ninja's pricing page and the 1 January 2026 pricing note on the date printed in the comparison. The date on this page is 7 November 2026.

Invoice Ninja's pricing page, checked 7 November 2026, keeps a free plan at 5 clients. Pro is $14 a month for 1 user. Enterprise starts at $18 a month for 2 users and reaches $300 a month for 100. The self-hosted white-label license is $40 a year. Incusia Starter is $9 a month, hosted, with nothing for you to update.

  • Self-host if you want the database

A technical freelancer who wants the data on a server they control should use Invoice Ninja and self-host it. The published code includes the hosted Pro and Enterprise features. The $40 is for removing the branding, not for the right to run it.

  • Hosted Pro is $14, not free

The free hosted plan stops at 5 clients, with unlimited invoices inside that cap. The sixth client is Pro at $14 a month, or $140 for the year. That is a real product. It is not an argument that hosting is free.

  • Incusia is the hosted $9

Starter is $9 a month. You do not patch PHP, you do not back up MySQL, and you do not keep a queue worker alive. There is no free plan and no server.

Why pay anything when you can run it yourself

The honest answer is that many people should not pay. If you can run a server, you can run Invoice Ninja. Their project page says the code is source-available under the Elastic License, and that all Pro and Enterprise features from the hosted app are included. You keep the database. You choose the backups. A white-label license to remove the branding from the parts clients see is $40 a year, on their 1 January 2026 pricing note and on that same project page. The software license is not the $40.

That is not the same sentence as "open source, so it is free." The Elastic License is not a grant to resell the app, and a server is not free once you count the machine, the mail, and the Sunday the update fails. If you want those Sundays, take them. If you want an invoice out this afternoon, a self-hosted install is the long way around. Wave is the other conversation people start with a free tier. Zoho Invoice is the hosted suite. Neither one hands you the database.

Hosted prices, checked 7 November 2026 on invoiceninja.com: Free is 5 clients and unlimited invoices. Pro is $14 a month for 1 user, or $140 a year. Enterprise is $18 a month for 2 users, then $32 for 5, $54 for 10, $84 for 20, $96 for 30, $160 for 50, and $300 a month for 100 users. The pricing page's own FAQ describes that as $18 for 1–2 users up to $300 for 51–100 users. The 1 January 2026 note lists the new rates and does not list the old ones, so this page has no price-history table.

The decision, in one place
Self-host Invoice Ninja if you want the database.
The code includes the hosted Pro and Enterprise features.
White label, to remove the branding: $40 a year.

Hosted Pro: $14 a month, 1 user, or $140 a year.
Enterprise: $18 a month for 2 users, up to $300 for 100.
Free hosted plan: 5 clients.

You patch it. You back it up. You watch the mail.
Incusia Starter is $9 a month, and you do none of those.

What the hosted free plan actually is

The free plan is not a demo. Invoice Ninja lists unlimited invoices inside 5 clients, templates, your logo, online payments, recurring invoices, projects, time tracking, expenses, deposits, and a client portal. Reminders that chase a late payment are marked on Pro, not on Free. Removing "Created by Invoice Ninja" is Pro. Reports for invoices, expenses, and profit are Pro. A sixth client is the wall.

Incusia does not offer that free plan, and it does not offer a 5-client plan either. Starter is $9 a month with unlimited clients and unlimited invoices from the first paid day. The 7 day trial is full Pro access, no card, and it ends. It does not shrink into a free account. If five clients is your whole book and you are happy to host nothing, Invoice Ninja Free is the cheaper product. Pay when the sixth client shows up, or self-host before then if the database is the point.

Payments are a gateway you connect. The pricing FAQ names Stripe, PayPal, Square, and GoCardless. Incusia takes cards through Stripe and does not offer PayPal. If a client will only pay inside PayPal, keep a tool that has it. Invoice Ninja is one. The free invoice generator is useful for a one-off PDF. It is not a database you own.

  • Free: 5 clients, unlimited invoices, portal, recurring, time, and expenses.
  • Pro: $14 a month, unlimited clients, reminders, and no Invoice Ninja branding.
  • Enterprise: from $18 a month for 2 users to $300 a month for 100.
  • Self-host: the features are in the code. White label is $40 a year.

Nothing to host is the whole product

The failure mode of self-hosting is not the install. It is the month you are on a job and the invoice does not send because a certificate, a queue, or a backup was yours to notice. Incusia's side of that trade is dull on purpose. The app is hosted. Updates are not your task. Backups are not your task. Export of PDF and CSV is on paid plans when you want to leave. Starter is $9. Pro at $29 adds the client pipeline, late fees, and a portal. Lifetime is $99 once.

A person who enjoys owning the stack should ignore that paragraph and install Invoice Ninja. I would, in their place. The page exists so the other person, the one who asked "why pay anything," can see that the payment is for not running the server. Hosted Pro at $14 is Invoice Ninja's version of the same idea, with a larger feature list and a company inbox. Compare those two hosted prices. Do not compare a $9 subscription with a server you have not priced.

Where Invoice Ninja is strong

Invoice Ninja is the right tool when you want the database. Self-hosting includes the hosted Pro and Enterprise features, the white-label license is $40 a year, and you are not waiting on a vendor to export your own rows. The hosted free plan is also a real plan: five clients, unlimited invoices, a portal, recurring invoices, time, and expenses. A technical freelancer who likes that trade should take it. Hosted Pro at $14 is there for the person who wants the feature list without the server.

  • Self-host and keep the database
  • Pro and Enterprise features included in the code you run
  • A free hosted plan for 5 clients
  • PayPal, Stripe, and other gateways on the invoice

Where Incusia is different

There is nothing to host, nothing to update, and nothing to back up. Starter is $9 a month, unlimited clients, unlimited invoices, estimates a client can sign, and reminders. The rate is locked at signup. You do not get the database on your own disk, and you do not get a free plan. Pro is $29. Lifetime is $99 once. Cancel in the dashboard.

  • Hosted. Updates and backups are not your job
  • $9 a month, against hosted Pro at $14
  • No 5-client cap on the paid plan
  • No server, and no free plan either

FAQ

Common questions

Should I self-host Invoice Ninja instead of paying?

Yes, if you want the database on a machine you control and you will patch, back up, and watch the mail. The code includes the Pro and Enterprise features. White label is $40 a year. If you will not do that upkeep, do not self-host.

Is Invoice Ninja open source?

The code is published and you can run it. The license on the project page is the Elastic License, which is source-available. It is not a promise that you can resell the software. "Free because it is open source" skips both the license and the server you still have to run.

What does the free hosted plan stop at?

Five clients, with unlimited invoices inside that cap, checked 7 November 2026. Templates, a logo, online payment, recurring invoices, time, expenses, and a portal are on the list. Automatic payment reminders and removing the Invoice Ninja branding are Pro. The sixth client is the upgrade.

How much is Pro, and how much is Enterprise?

Pro is $14 a month for 1 user, or $140 a year. Enterprise is $18 a month for 2 users, then steps by user count to $300 a month for 100 users. Annual billing is described as two months free. Incusia Starter is $9 a month and does not add seats.

What is the $40 charge?

It is the self-hosted white-label license for a year, so client-facing pages are not branded Invoice Ninja. It is not the price of the software, and it is not a hosted plan. You still pay for the server, the mail, and your time. Those costs are yours to know.

Why would I pay $9 when a free plan exists?

Because their free plan ends at 5 clients, and because you may not want a server. Starter is $9 for unlimited clients, hosted, with reminders. Under 5 clients, do not pay either of us. Incusia's trial is not a free plan.

Does Incusia give me the database?

No. Incusia is hosted. You can export PDF and CSV on a paid plan, and you can leave. You cannot open the database yourself. That is the reason to self-host Invoice Ninja when owning the data matters more than convenience.

Can clients pay with PayPal?

On Invoice Ninja, yes. Stripe, PayPal, Square, and GoCardless are named. Incusia collects cards through Stripe and does not offer PayPal. If a client will only pay that way, stay on a tool that has PayPal.

Did the price change in 2026?

Invoice Ninja's own note says prices increased on 1 January 2026 and lists the new rates, including Pro at $14 and the Enterprise ladder up to $300. It does not list the previous prices. This page does not invent them, and it does not include a history table.

What happens after the 7 day trial?

The trial is 7 days of full Pro access, and no card is required. It is not a free plan. On day 7 the account is read only until you choose Starter at $9, Pro at $29, or Lifetime at $99. Their free plan can stay free inside 5 clients.

Or skip the server and send the invoice

Self-host if you want the database. Hosted Pro is $14 a month. The free plan stops at 5 clients.

I have run software on a server I controlled, and I know the Sunday the update fails. Invoice Ninja is the right answer for a person who wants that Sunday and wants the database on their own disk. I built Incusia because I did not want a backup to finish before I could send the next invoice.
