Payment Terms Generator

Payment terms are the paragraph that stops “I thought I had 60 days” emails. They say when the money is due, how it should arrive, and what happens if it does not. Vague terms get vague payments. A sentence like “payable in a timely manner” is not a due date. Net 30 is a due date. Printing the calendar date next to Net 30 is even better.

Start with the due window. Due on receipt, Net 15, and Net 30 cover most freelance work. Longer windows are a gift you should give on purpose, not by accident. Then name the methods you actually accept. If you do not take checks, do not list checks. Clients will use the first method they see that is convenient for them, not for you.

Late fees belong in this block if you plan to charge them. A fee that appears only on a reminder looks like a surprise. Run the Late Fee Calculator so the percentage or flat amount in the terms matches the number you will put on a revised invoice. If you will not enforce the fee, leave it out. Empty threats train clients to ignore the rest of the paragraph too.

Deposits and cancellation rules are optional, and they are powerful on estimates as well as invoices. If work does not start until 40% is paid, say so. If a cancelled project keeps a portion of the deposit, say so. This generator is not a full contract.
