Create an invoice that looks like you charge more than you do

A tidy invoice gets fewer questions and gets paid with less chasing.

ABy Abass Gass, Founder of IncusiaUpdated 13 October 2026

A new client decides whether you are careful before they decide whether you are expensive. The invoice is the first document that looks like a bill. If the type is cramped, the logo sits on the total, or the payment instructions are a paragraph of bank details in tiny type, they put it down and reply tomorrow. Tomorrow is how a seven day term becomes three weeks.

Incusia is invoice software built for that moment. You pick a layout, drop your logo in a corner that does not collide with the invoice number, choose one of 24 accent colours and one of six typefaces, and send. The client pays from a button on the invoice. Card, Apple Pay, or a bank transfer. You are not assembling a PDF in a slide tool at 11pm.

Five invoice layouts, not a blank canvas

There are five invoice layouts: Classic, Modern, Studio, Trade, and Consulting. Classic is the one you can use before you pay. The other four, your logo, and the removal of Incusia branding sit on every paid plan from $9 a month. The pricing card says ten layouts because it counts these five together with the five estimate layouts. There is not a secret sixth invoice design in settings.

Consulting

Classic is a bordered table with the label on the left. It suits consultants who send to a finance team. Modern puts the accent in the header and panels the total, which is what agencies tend to pick. Studio is serif and spacious, for designers, photographers, and writers. Trade is built for labour and materials, with a job site and a reference. Consulting is the quieter of the five, for retainers and advisory work.

You do not design the page. You choose the layout and then you stop. That is deliberate. A freelancer with a full page builder spends the evening nudging a logo two pixels left and sends the invoice the next morning. The client did not need a custom grid. They needed the amount, the due date, and a way to pay.

Where the logo is allowed to sit

The logo goes in a corner. Top left is the default. You can move it, and you can hide it. You cannot drop it over the total, over the line items, or across the payment button. Those are the safe zones. A logo that covers the amount is the most common reason a client emails 'what do I owe?' on an invoice that already says the amount.

The accent colour is one of 24: purple, plum, indigo, navy, royal blue, sky, teal, emerald, forest, olive, mustard, amber, burnt orange, rust, crimson, burgundy, rose, maroon, charcoal, slate, graphite, stone, near black, and ink. You pick one. It colours the header rule and the payment button. It does not recolour the whole page, because a page that is entirely rust is harder to read than a page with a rust rule.

The six typefaces are Inter, Playfair Display, Source Serif, IBM Plex Sans, Space Grotesk, and Libre Baskerville. Inter is the default and the one that survives being printed by a client who still prints invoices. Playfair and Libre Baskerville are for Studio when you want the document to feel like a proposal. IBM Plex and Space Grotesk are for product and engineering clients who flinch at a script font. You choose one typeface for the document, not a different face on every line.

Stop retyping the same line

The first time you bill 'Brand identity' at $1,800, Incusia can keep that line. The next invoice, you type 'Brand' and the saved item offers the description, the rate, and the unit. Discovery workshop, day rate, revision round, hosting: the lines you actually sell, not a generic catalogue of 400 SKUs. Saved items live in settings and also appear while you type on the invoice and on an estimate.

Duplicating last month is the other way to stop retyping. Open the September invoice for North Studio, duplicate it, and October is a draft with the same lines, the same currency, and a new number. You change the dates and anything that was a one-off. You do not rebuild the table. If last month had a rush fee you do not want to charge again, delete that line before you send. Duplicate copies the document. It does not decide which lines still apply.

Numbers stay sequential. INV-2026-118 follows INV-2026-117. You can set a prefix, and you should not change the scheme in the middle of a year unless you can explain the gap to an accountant. A missing number is a question. A random number hides how many invoices you send, which some people want and some tax rules do not. Incusia increments. If you need a one-off reference for a purchase order, that field is separate from the invoice number.

The button that actually gets you paid

Most tools stop at the PDF. The client saves it, forwards it to someone, and the payment happens in a bank app you cannot see. On a paid plan the invoice carries a payment button. The client pays the amount on the document by card or Apple Pay, or they use the bank details you already put on the invoice. You see the payment on the invoice itself, which is the point of knowing what happened after you sent it.

The button uses the accent colour you chose, so it looks like your invoice and not like a checkout pasted on afterwards. If you have not connected Stripe, the button is not there and the invoice still sends. Do not promise a client they can pay by card until that connection is done. A button that errors is worse than bank details that work.

Reminders are on the $9 plan as well. A reminder goes out on a schedule, not when you are annoyed on a Thursday night. The tone stays the same because you are not writing it angry. If the invoice is already paid, it does not remind them. If you would rather do the chasing yourself, turn reminders off for that invoice. The schedule is a default, not a trap.

Afterwards, Past Invoices

Every invoice you send lands in Past Invoices. Search by client, number, amount, or status. This is where you answer 'can you resend March?' without opening a year of email. It is also where you see which invoices were opened and which bounced, if you care about that on the $9 plan. The search is the archive. It is not a second accounting system, and it does not file a tax return.

If the same client is on a retainer, stop duplicating by hand and put the invoice on a schedule. If you are billing costs you paid for them, those belong on the invoice as expenses, not as a line you type from a photo on your phone. If the client is abroad, send the invoice in their currency so they are not doing the conversion as a reason to wait.

What this does not do

Incusia will not design a sixth layout to match a brand deck. It will not let the logo cover the total. It will not invent a late fee on the $9 plan. Late fees, deposits, and payment plans are Pro. It does not export to QuickBooks or Xero. It does not add teammates. One account, your invoices. If you need a firm of four people on one login, this is the wrong tool.

It also will not make a slow client fast. A clear invoice removes the excuse that they could not tell what they owed or how to pay. It does not remove a client who pays on day 50 because that is how their accounts office works. For that, look at how long they have taken before, which is on the client page, and ask for a deposit before you start the next job.

A practical send looks like this. You duplicate September, change the issue date and the due date, drop the rush fee that was only for the launch week, and confirm the saved 'Brand identity' line is still $1,800 and not the old $1,600. You glance at the logo in the corner, the accent on the button, and the client email. Then you send. The whole edit is a few minutes if the saved lines are already right. If you are rebuilding the table from a notes app, the saved items are the part you have not set up yet.

Currency, tax, and a purchase order number are fields, not a second product. If this client is billed in dollars, the invoice stays in dollars. If they sent a PO, put it in the reference so their accounts team can match it. If a line is exempt or taxed, set the rate on that line. Incusia will not guess a tax rate from your postcode. You set it. Wrong tax is the sort of correction that delays payment by a week while someone in their office asks you to reissue.

Questions

How many invoice layouts are there?

Five: Classic, Modern, Studio, Trade, and Consulting. Classic works before you pay. The other four are on every paid plan from $9 a month. The ten layouts on the pricing card include the five estimate layouts as well.

Can I put my logo anywhere on the invoice?

No. The logo sits in a corner so it does not cover the amount, the line items, or the payment button. You can move the corner or hide the logo. You cannot drag it over the total.

Do I have to retype line items every month?

No. Lines you have billed can be saved and offered the next time you type the description. You can also duplicate last month's invoice and edit the dates. Delete any one-off line before you send the copy.

Is the payment button on the $9 plan?

Yes. Card and Apple Pay on the invoice are on Starter, once Stripe is connected. If Stripe is not connected, the invoice still sends with your bank details and without the button.

Where do old invoices go?

Past Invoices. You can search by client, number, amount, or status. That is the archive. It is not a tax filing tool and it does not replace your accountant.

Can I charge a late fee on Starter?

No. Automatic late fees are Pro. On Starter you can still state your terms on the invoice and send reminders. The fee itself is not calculated and added for you.

Will Incusia remove its own name from the invoice?

On a paid plan, yes. The invoice carries your logo and your colours, not an Incusia footer. Before you pay, Classic is available and branding is not fully yours.

Can two people in my studio share one account?

No. There are no team seats. The account is yours. If you need several logins on one company, Incusia is not set up for that.
